Every step of planning a group trip, in the order it actually has to happen, with the part everyone screws up called out at each stage. The whole thing is below. The printable one page version comes by email.

The checklist
Four phases, in this order.
Most group trips die in phase one and nobody notices until phase three.
Lock the group
EIGHT TO TEN WEEKS OUT
- Name one decider. Not a committee, one guy.
- Say out loud whether the group is covering the groom.
- Collect a deposit from everyone before a single thing is booked.
The trap
Booking for the number in the group chat instead of the number that actually sent money. Twelve say yes, seven get on the plane.
Book the thing with a clock on it
THE DAY THE GROUP IS REAL
- Golf: tee times, and check whether the course needs you on property.
- Ski: lift tickets, before the cheap tiers sell out.
- Lake: the boat. City: the one dinner that matters.
The trap
Buying flights first because the fare looked good. Flights are the flexible part. The tee sheet is not.
Then lodging, then flights
ONCE THE SCARCE THING IS HELD
- Size the house to the number that paid, not the number that replied.
- Spread the exposure. Nobody fronts the house and the boat and the dinner.
- Six blocks out of the centre is often close to half the price.
The trap
One guy putting four thousand dollars on his card and spending the next month chasing nine people for it.
The week before
SEVEN DAYS OUT
- Send the final per head number where all of them can see it.
- Confirm whoever is driving the boat is legally allowed to.
- One shared doc. Times, addresses, confirmation numbers.
The trap
Assuming the guy who said he grew up on boats has the boater education card his state requires. Texas checks. Rentals in California do not.
